This policy explains what personal information we collect, why we collect it, who we share it with, and what you can ask us to do about it. It covers our website at protronixtech.com and Protronix Glass, the internal console our engineers use to deliver managed IT services.

1. Who we are

Gruden Technologies LLC, trading as Protronix Tech, is a managed service provider based in Florida, United States. We are the data controller for information we hold about our own contacts and prospects, and a data processor for information we handle on behalf of our clients under our service agreements.

2. Information we collect

From visitors to protronixtech.com: contact and booking details you give us — name, email address, telephone number, company name, and anything you write in a message or booking note. Technical information your browser sends — IP address, browser type, pages viewed, and referring page. Our website is hosted by Wix, which sets cookies for site functionality and analytics. We do not sell this information, and we do not use it for advertising.

From clients, through our service platforms: to deliver managed IT, security and compliance services we process information held in systems our clients have asked us to manage. Depending on the service, this can include identity and device data (user accounts, group memberships, sign-in activity, device names, operating system and patch state, security alerts); support data (tickets, correspondence, notes and attachments); security telemetry (endpoint detection alerts, vulnerability scan results, penetration-test findings); and financial and billing data where a client connects an accounting system.

We access this information only as necessary to provide the services the client has engaged us for, and under the terms of the agreement with that client.

3. Protronix Glass and connected accounting data

Protronix Glass is an internal operations console used by Protronix Tech staff. It is not a consumer product and is not offered for sale.

Where a QuickBooks Online company is connected to Glass, we use Intuit's OAuth 2.0 authorisation flow. An authorised administrator grants access; we never ask for or store QuickBooks sign-in credentials.

What we read: profit and loss, balance sheet, accounts receivable and payable ageing, invoices, estimates, sales by customer, and company profile information — under the com.intuit.quickbooks.accounting scope.

What we do with it: display financial summaries and reporting inside Glass to the small number of Protronix Tech staff authorised to see them.

What we do not do: we do not sell QuickBooks data, share it with advertisers, use it to train machine-learning models, or disclose it to any third party except as set out in section 5.

Disconnecting: an administrator can disconnect QuickBooks at any time from the Finance section of Glass, or from within QuickBooks under Apps then Connected apps. Disconnecting revokes our access token immediately. Cached financial summaries are deleted within 30 days of disconnection.

4. Why we process information

We process information to respond to enquiries and bookings (at your request); to provide managed IT and security services (performance of our contract with the client); to protect client systems from security threats (legitimate interest in security, and client instruction); to meet regulatory and compliance obligations (legal obligation and client contract); and for invoicing and financial administration (performance of contract and legal obligation).

5. Who we share information with

We share information only with the service platforms we use to deliver the service — Microsoft, Datto, Kaseya (Autotask), IT Glue, Sherweb, Cloudflare, Intuit and Wix — each processing data under its own agreement with us and its own privacy terms; with professional advisers such as accountants and lawyers, where necessary and under a duty of confidentiality; and with law enforcement or regulators where we are legally required to do so.

We do not sell personal information, and we do not share it for advertising or cross-context behavioural advertising.

6. Where information is held

Protronix Glass runs on Microsoft Azure in the East US 2 region, in the United States. Our website is hosted by Wix. Some platform providers we use may process data outside the United States; where that happens it is under the provider's own contractual safeguards.

7. How we protect information

Credentials for connected systems are encrypted before they are stored, using AES-256-GCM, with the encryption key held in Microsoft Azure Key Vault and never stored alongside the data it protects. Access to Glass requires single sign-on through Microsoft Entra ID with multi-factor authentication, and access is restricted per user to the areas that person needs. Actions taken in Glass are recorded in an audit log. Network access to the application is restricted to our ingress layer; the application is not directly reachable from the internet. We run regular vulnerability scanning and periodic penetration testing.

No system is perfectly secure, and we do not claim otherwise. If a breach affects your information we will notify you and any applicable regulator as required by law.

8. How long we keep information

Website enquiries and bookings: up to 24 months from last contact. Client service data: for the duration of the service agreement and up to 12 months afterwards, unless the agreement says otherwise. Audit and security logs: up to 180 days. Cached financial data from a connected accounting system: deleted within 30 days of disconnection. Records we must keep for tax or legal reasons: for the period the law requires.

9. Your rights

Depending on where you live, you may have the right to ask us to tell you what information we hold about you; correct information that is wrong; delete information we no longer need to keep; stop or limit certain processing; provide your information in a portable format; or opt out of the sale or sharing of personal information — we do not sell or share personal information, so there is nothing to opt out of.

If we hold information as a processor on behalf of a client, we will refer your request to that client and support them in answering it. To make a request, email Info@ProtronixTech.com. We will respond within 30 days. We will not discriminate against you for exercising these rights.

10. Children

Our services are provided to businesses. We do not knowingly collect information from anyone under 16. If you believe we have, contact us and we will delete it.

11. Changes to this policy

If we change this policy we will update the date at the top of this page. Where the change is significant, we will tell affected clients directly.
